Faculty Review Timeline for Reappointment, Promotion, and Tenure

Steps in the review process for full-time tenure-track faculty will follow the timing established by the Faculty Review Timeline for Reappointment, Promotion, and Tenure, as established by the [Provost and] Vice President for Academic Affairs in consultation with the Purchase College Faculty (Article XI, Sec. C1, Faculty Bylaws). The most important dates for each personnel action are listed below.

Note: New faculty members should begin assembling their review files during their first semester at Purchase College.

2014–15 Faculty Review Timeline
2014:
March 3, 2014 Deadline for faculty to notify the Office of the Provost and Academic Affairs of request for change in rank or tenure status, for review in 2014–15.
March 12 Academic Affairs (AA) distributes review timeline to deans, chairs, directors, and the Personnel Policies Committee (PPC).
March 17 AA distributes faculty review charts to deans, chairs, directors, and the PPC.
April 2 AA distributes tentative list of faculty eligible to serve on Review Committees (RCs) to deans, chairs, directors, and the PPC. The list will indicate which faculty members are currently under review.
By April 4 Chairs/directors of the schools/conservatories send notification letters to all candidates up for review. Candidates for promotion and tenure are notified that a current curriculum vitae and names of prospective external reviewers are due by May 2. For nontenure [reappointment] reviews, names of people who may be contacted for letters of support are not due until August, when submitting the review file.
 
All review files are due on the first day of 2014–15 faculty obligation: Aug. 18, 2014.
April 2–May 2 Faculty “meeting of eligibles” to serve on RCs; RCs formed and elect chairs.
April 2–May 2 The PPC approves constitution of RCs; chair/director sends charge letters to RCs.
April 2–May 2 Promotion and tenure RCs compile list of external reviewers and forward list to the chair/director.
By May 2 Candidates for promotion and tenure submit current curriculum vitae and names of prospective external reviewers to the chair/director of their school/conservatory. The candidate may also provide a description of the specific area into which her or his scholarship falls.
By May 16 The chair/director sends letter and candidate’s curriculum vitae to external reviewers requesting a commitment to review the file, which is sent to the reviewer in September, by Oct. 15.
July 16 AA distributes updated review charts to deans, chairs, directors, and the PPC.
By July 23 The chair/director sends charge letters to July candidates and notifies them that review files are due Nov. 3.
By Aug. 27 For promotion and/or tenure reviews, the candidate submits review file and list of materials to be sent to external reviewers to the chair/director’s office. Consultation occurs about contents of file to be sent to external reviewers.
By Aug. 27 For full-time contract renewals [reappointments], the candidate submits a review file and a list of colleagues who may be contacted to submit a letter of support. The chair/director sends requests for letters from colleagues, which are due by October 15.
Aug. 27–Sept. 5 Faculty “meeting of eligibles” to serve on RCs for candidates added in July.
By Sept. 10 The chair/director sends candidate files to external reviewers (letters due to RC Oct. 15).
Oct. 15 External reviewer letters [promotion and/or tenure reviews] and colleague letters [reappointment reviews] are due to the chair/director’s office and are immediately added to the file.
By Nov. 3 July candidates submit review file to the chair/director.
Dec. 11 RCs submit recommendations for March and July candidates to the chair/director.
2015:
Jan. 29, 2015 The chair/director makes a recommendation. A redacted copy is sent to the candidate, with a redacted copy of the RC letter (if applicable).
Jan. 29 The chair/director’s office notifies the candidate to review/rebut file.
Feb. 5 Chairs/directors forward recommendation and review file to the PPC for tenure-track faculty and directly to the provost for non-tenure-track faculty.
March 19 The PPC forwards recommendations and review files to Office of the Provost.
 
  • The Office of the Provost notifies the candidate to review/rebut file.
  • Provost reviews file and makes a recommendation.
  • The Office of the Provost notifies the candidate to review/rebut file.
By May 14 Provost forwards recommendations and review files to the president.
Early July President’s letter sent to candidate (contractual notification deadlines: July 15 for part-time faculty; Aug. 31 for full-time faculty).

2015:
